New York City / Jersey City (Hybrid)
Cancel Communications is a New York City-based communications agency specializing in public relations, talent management, creator partnerships, events, and cultural marketing across music, fashion, entertainment, technology, hospitality, and lifestyle.
We're looking for an exceptional Executive & Personal Assistant to become the operational backbone of both the agency and the Founder. This role combines executive support, agency operations, project management, and personal assistance. You'll be responsible for ensuring that nothing falls through the cracks - whether it's a client call, a media deadline, a flight itinerary, or a personal errand.
This role is ideal for someone who thrives in fast-paced environments, enjoys solving problems before they're presented, and takes genuine pride in keeping people and businesses organized.
Agency Operations
Manage the Founder's calendar and coordinate all internal and external meetings.
Schedule calls with clients, editors, talent representatives, brands, and partners.
Attend meetings, take detailed notes, distribute action items, and ensure deadlines are met.
Keep the internal team organized and accountable for deliverables and timelines.
Track client projects, media opportunities, and ongoing outreach across the agency.
Help organize scopes of work, proposals, contracts, presentations, media lists, and internal documents.
Assist with onboarding new clients, interns, freelancers, and vendors.
Continuously identify ways to improve internal organization and operational efficiency.
Executive & Personal Support
Manage the Founder's personal calendar, appointments, and daily schedule.
Coordinate all travel, including flights, hotels, transportation, restaurant reservations, itineraries, and logistics.
Prepare detailed travel itineraries for business trips and events.
Assist with personal errands and administrative tasks throughout Jersey City and New York City.
Help organize personal projects, reminders, purchases, returns, and miscellaneous life administration.
Ensure the Founder is prepared for meetings, travel, events, speaking engagements, and client presentations.
Project Management
Monitor deadlines across multiple clients simultaneously.
Follow up with team members to ensure work is progressing on schedule.
Keep running task lists and proactively identify potential bottlenecks.
Serve as the central organizational hub between the Founder, employees, freelancers, and clients.
Qualifications
Exceptional organizational skills with outstanding attention to detail.
Excellent written and verbal communication.
Ability to manage multiple priorities simultaneously.
Comfortable working with confidential information.
Highly proactive—you don't wait to be asked.
Strong judgment and problem-solving skills.
Comfortable working both independently and collaboratively.
Based in or willing to commute to Jersey City and New York City.
Experience supporting executives, entrepreneurs, agencies, or fast-growing startups is preferred.
Ideal Candidate
The ideal candidate genuinely enjoys organizing people, projects, and systems. You'll anticipate needs before they're asked, keep the business running smoothly, and help create structure in an environment where no two days are the same.
Some days you'll be scheduling meetings with executives at Netflix, Billboard, or Rolling Stone. Other days you'll be organizing travel for Fashion Week, preparing meeting materials, picking up dry cleaning, or helping coordinate a last-minute dinner reservation.
This is a role for someone who wants to become an indispensable part of a growing company - not someone looking for a traditional 9-to-5 administrative position.

New York City / Hybrid
Cancel Communications is a New York City-based communications and creative agency working across music, entertainment, creators, fashion, beauty, technology, hospitality, consumer brands, and culture.
We are seeking a highly skilled freelance publicist with at least three to five years of experience to independently manage a diverse portfolio of clients. This is a senior, client-facing role for someone who can move confidently between industries, quickly understand each client’s goals, develop compelling media strategies, and execute campaigns from initial planning through final reporting.
The ideal candidate is a strong writer, persistent pitcher, strategic thinker, and trusted client partner. They should be comfortable owning projects with limited oversight while remaining highly collaborative with agency leadership and the wider team.
Responsibilities
Manage day-to-day publicity efforts across clients spanning music, entertainment, creators, fashion, beauty, technology, hospitality, consumer brands, and culture.
Develop and execute strategic publicity campaigns tailored to each client’s goals, audience, and industry.
Identify timely editorial hooks, cultural moments, and creative story angles that extend beyond basic announcements.
Build highly targeted media lists and maintain accurate relationships and contact information across relevant verticals.
Secure interviews, profiles, cover stories, podcast appearances, broadcast segments, product placements, thought-leadership opportunities, and event coverage.
Draft pitches, press releases, media alerts, briefing documents, talking points, award submissions, client reports, and other press materials.
Lead client calls, communicate campaign updates clearly, and provide thoughtful strategic counsel.
Build and maintain relationships with editors, journalists, producers, podcast bookers, talent teams, event organizers, and brand partners.
Manage media opportunities from initial outreach through scheduling, preparation, execution, follow-up, and final publication.
Staff clients in person at red carpets, premieres, festivals, interviews, press days, fashion weeks, events, and other public-facing appearances.
Prepare clients for media obligations and ensure they have the schedules, briefing materials, talking points, and on-site support needed to succeed.
Coordinate with photographers, stylists, glam teams, management, event teams, and other partners when required.
Track outreach, coverage, deadlines, deliverables, and next steps across multiple accounts simultaneously.
Prepare coverage reports and provide thoughtful analysis of campaign results, key learnings, and future opportunities.
Proactively identify new media, event, partnership, and cultural opportunities rather than waiting for assignments.
Qualifications
At least three to five years of relevant public relations experience at an agency, in-house communications team, or comparable environment.
A demonstrated record of securing meaningful earned media coverage.
Experience working across several industries and adapting strategy, language, and outreach accordingly.
Strong existing relationships with editors, journalists, producers, podcast bookers, and other media contacts.
Excellent writing, editing, pitching, and client communication skills.
Experience managing client accounts and campaigns independently from strategy through execution.
Strong judgment, attention to detail, and the ability to manage competing priorities under tight deadlines.
Experience staffing talent and clients at red carpets, premieres, press days, festivals, fashion weeks, and live events.
Comfortable working outside standard business hours when major events, breaking news, travel, or client needs require it.
Based in the New York City area or able to attend in-person events and client obligations as needed.
Success in This Role Looks Like
You independently own accounts and consistently keep campaigns, clients, and internal teams moving forward.
You bring strong story ideas and media opportunities to the table without waiting to be assigned every next step.
You can shift seamlessly between pitching an artist, creator, executive, fashion client, technology company, or consumer brand.
You build thoughtful media strategies rather than relying on mass outreach or generic pitches.
You secure meaningful results across profiles, covers, podcasts, broadcast, digital features, events, and cultural moments.
You communicate proactively, flag challenges early, and arrive with potential solutions.
You represent Cancel Communications and its clients professionally in emails, meetings, interviews, red carpets, and high-pressure event environments.
You understand that strong publicity requires persistence, creativity, organization, and long-term relationship building.
You are equally comfortable developing the strategy, writing the pitch, conducting the outreach, staffing the client, and preparing the final report.
This is a freelance position with the potential to become a consistent, long-term partnership as the agency continues to grow.
